Posting Fund Statements

Options
Does your organization post individual fund statements online for each fund using the documents part and security setting to an individual fund/advisor? I know DonorFirst has an option and the only way to do it through Net Community is to do a unique documents part for each user.

  • I believe Blackbaud has developed customizations for some customers to do this, but don't know the details. I had heard quite a while back that if you produced .pdfs of your statements, you could separate these out and have the custom routine post these so they would work with the existing log-ins -- so only the appropriate person would see their donor statement(s) when logged in.

Blackbaud - would love to get more information on this if it was developed as custom functionality?

  • Hi Linda,

We are primarily a mission sending agency, and we do this using BBNC as the portal. We had this functionality prior to moving to RE, so it was critical that we continue to have the online access for our missionaries. BB consultants helped us to create a rolling 12 month (current month plus preceeding 11 months) report for each of our missionaries so that they can log in any day and see what has been posted to their support account. Our data warehouse is updated overnight, every night. We use fund relationships and constituency codes to create the correct access and security for this information. We have over 600 missionaries and staff that log on to see these, and the report shows the giver name and address, and amount each month, with totals by giver and totals by month. The can export it as a pdf, excel, csv, xml or tiff. If the gift is anonymous, then there is a line, that reads anonymous, so they still know the amount that came in.

Hopefully this is helpful, feel free to contact me if you have questions.

  • Yes, we do this. But our fund statements integrate with another database that uses Microsoft Report write. That said, the security is linked to their fund relationship in RE and the user only can see fund statements for the funds they are linked to. So we do not need to create individual security for each user or fund, just ensure that the user is set up in RE with the correct relationships and codes.

We are a community foundation so everything is a bit different, but we do have it working for these purposes. This is the main reason we use BBNC to provide an outlet for our fold holders to view their fund statement.

  • Thanks for responding Lisa. We have funds set up for donors that show this report and use relationships in RE as the security to log them into their fund. But, we want to have them login and find a PDF report already posted to them from us. This would be a little different then what is posted to their account. We want to post documents custome to each client on the site, Can you do anything like this currently?

    Thanks,

    Linda

Tracy - this sounds like what we are after. We want to be able to post a Fund Statement from quarter end to each fund holder. This would link through RE for the relationship. Can you give me more information about the reports. How do you upload them to the site? Do you have a document page set up for the fund holder?

    Linda
