Development Operations Manager (NYC based)

Reporting to the Managing Director of Development for certain functions, the Development Operations Manager is a key member of the Development team. This position advances the mission of the Clinton Foundation by leading various operational and administrative functions, and other projects in support of the team. Key functions of this position include ensuring the efficient and accurate management of donor data, revenue tracking and donation administration through extensive use of the Foundation’s CRM database, and other administration functions.

The Development team works to secure the philanthropic resources necessary to advance the Foundation’s mission through its programs and operations. The team works closely with volunteers and colleagues from across the organization to present the Foundation’s case for support through gifts, grants, and sponsorships. Team members collaborate to maximize engagement and giving from individual donors and institutional funders alike.

Core Responsibilities

Revenue Tracking, Gift Administration & Reporting

  • Oversees the processing and proper recording of gifts and pledge fulfillment.
  • Prepares gift, pledge, sponsorship, and/or grant agreements, and invoicing.
  • Assists the CDO and Directors on partnership, major gifts and endowment pledge fulfillment, including reporting, pledge reminders, and other donor communications regarding same.
  • Prepares the necessary data files of gift receipt letters and appropriate acknowledgement letters according to established procedures.
  • Builds and manages tracking for contracts, sponsor benefits, and gifts.

Data Management

  • Maintains and updates a high-quality donor database that supports the goals and objectives of the department with respect to fundraising and relationship management.
  • Liaises with the CRM Database Manager to implement and oversee data entry procedures, data hygiene practices, and database integrity.
  • Regularly audits and updates donor data to ensure accuracy and reliability.
  • Assists CDO, Directors, and others in producing routine gift & special revenue reports and works with the CRM Manager as needed to develop and refine such reports.
  • Serves as a resource to Development team in the preparation of CRM queries and lists for various purposes, segmentations, and data file preparation as requested; trains other Development staff members to do likewise.

Donor Recognition/Stewardship and Other Administrative

  • Leads annual endowment stewardship reporting.
  • Updates financial filings and materials, i.e. W-9s and other documents.
  • Processes DAF/Foundation letters
  • Maintains and updates various Development team forms, instructions, etc.
  • Coordinates Development team office operations, including team meetings, incoming emails, correspondence and calls directed to the Department.
  • Utilizes data to assist the development team in managing and growing the donor pipeline

Minimum Qualifications

What we’re looking for:

  • Bachelor’s Degree
  • At least 5 years of professional experience in the field in positions of increasing responsibility required
  • Experience in non-profit environment with similar responsibility preferred
  • Understanding the fundamentals of a Development office and a charitable foundation

Compensation & Benefits

Our best estimate of the compensation range for this opportunity is $60 - 65K annually, depending on the experience you bring. This role is eligible for overtime pay. This range is based on NYC market rates and may be adjusted if you will be working remotely.
