Gift Tally report needed

Options

Hi,

For our upcoming on-air fundraising drive we need to get a report showing donor names, fund name, gift amount and time the gift was made. We use time to analyze how well we did each hour of the drive. We've explored NXT and found that the Transaction report in Merchant Services provides all the info we need EXCEPT for the Fund. We use fund names to assign gifts to the station the donor wants to support. We've played with NXT lists but sadly these reports don't show time or uncommitted gifts! We've worked out a way thru merging these reports, but it's not perfect. Any ideas?

Thanks, Karen

i'm assuming you are using RE NXT Donation form to gather donation and setup the donation forms to go to specific fund for different “station”.

Unfortunately, there is no way to report on uncommitted/not approved gift batch on the webview. So if you need the fund info, you will have to approve the batch before running the RE report.

As for BBMS transaction list to get date/time, that's the only place to get time of transaction without doing coding. you could actually get the full date/time of gift creation (that is the date/time of donation made, not when you approve the gift batch) using gift list SKY API, but this generally does have a “delay” built in.

If you're reporting on things live as the drive is happening, NXT won't really work like @Alex Wong said. We have been doing a telethon for years and do things the old fashioned way, unfortunately, and use a shared spreadsheet. There are other donation platforms that can cover all those things and you could export that information every hour or however often you need to refresh the numbers.

We use Fundraise Up now and it allows us to track those in person and online donations throughout the day.

Thanks Alex and Lee. Looks like we'll stick with our solution for now.

  • @Karen Horn Having worked at a radio station in fundraising, I would definitely agree that you are better off with another solution for timely numbers. There's really no way to process gifts quickly enough for RE to do that.

Our organization also runs 2 on-air fundraisers each year. We have gift notifications set for each form where one of the email addresses uses a parsing program to deliver this info in EXCEL format. Although not exactly accurate, we are able to use the date and time the email was sent as the “gift date/time”. Works well for the most part, except during high volume gift periods (such as our last day of the fundraiser) as we have found out gift notifications can be delayed. And this certainly does not work well on Giving Tuesday with high volume BBMS traffic.
