Summary: The Data Systems Administrator is responsible for the administration of Academy databases including maintaining the integrity and continuity of constituent records and testing records, using information in the databases for reports, directories and other projects as needed by the Academy, and assisting other database users with access and use.

Essential Job Functions:

System Administration, Data Integrity, Security, and System Integration:

  • System administration for most Academy data systems including but not limited to Blackbaud products (K-12 Education Management, Raiser’s Edge), Google Workplace, Campbrain, Bright Arrow, Odin MyKidsSpending, and Magnus Health
  • Manages the operations and integration of ongoing imports and exports of data including student testing data throughout relevant systems
  • Protects data by planning and monitoring the effectiveness of data management policies
  • Works with database users and managers in other departments to ensure accuracy and consistency of data management policies in all systems
  • Implements data system security measures, including user access rights
  • Backs up sensitive data from web-based systems to on-site server as needed

Constituent Record Management:

  • Manages the flow and integrity of constituent data in all major school data systems including but not limited to the systems listed above as well as GiveSmart, MobileServe, Mosyle, SherpaDesk, KnowBe4, Adobe, Zoom, Scoir, and Destiny; provides cleanup of records as needed
  • Provides regular updates to Marketing & Communications about constituent email changes
  • Creates, updates, and purges constituent records throughout the data systems through the use of imports, exports as well as manual data entry
  • Creates new employee accounts, access to groups, and sets database permissions; removes access upon termination
  • Maintains emergency contact information for student records
  • Researches returned mail and updates databases as needed
  • Prepares constituent information for registration and enrollment forms and other forms or projects as needed by the Academy

Schoolwide Support, Reporting, and Analysis:

  • Member of the Technology Help Desk Team and Database Roundtable
  • Provides staff training and training recommendations on data systems as needed
  • Uses information in the data systems to provide or design financial, statistical, and demographic reports, lists, queries, and directories as needed by other departments within the Academy including producing mailing lists, donor and prospective donor lists, and other information using Raiser’s Edge or Blackbaud K-12 reporting tools
  • Assists Advancement with questions relating to monthly and year-end revenue reconciliations and audit requests from the Business Office
  • Coordinates the preparation, distribution and collection of annual forms and agreements sent to families; uses collected information to update data systems
  • Provides Blackbaud login and lockout assistance to all constituents
  • Perform other tasks as assigned by the Director of Technology

Skills:

  • Database Management: Proficiency in managing and maintaining databases, ensuring data integrity, and performing data backups
  • Data Integration: Ability to manage and integrate ongoing data imports and exports between various systems
  • Data Security: Knowledge of data protection protocols, user access rights management, and implementing security measures
  • Technical Support: Strong problem-solving skills to assist database users and troubleshoot technical issues
  • Reporting and Analysis: Ability to generate and design financial, statistical, and demographic reports using database tools
  • Communication: Excellent verbal and written communication skills for interacting with colleagues across various departments
  • Project Management: Ability to manage multiple projects simultaneously, ensuring timely completion and accuracy

Knowledge:

  • Blackbaud Products: In-depth knowledge of Blackbaud K-12 Education Management and Raiser’s Edge.
  • Google Workplace: Familiarity with Google Workspace tools for collaboration and data management.
  • Data Management Policies: Knowledge of best practices for data management, including data integrity and consistency across systems.
  • Educational Environment: Familiarity with the needs and operations of an independent high school environment.

Abilities:

  • Attention to Detail: High level of accuracy and attention to detail in data management and reporting.
  • Training and Support: Ability to train staff on database systems and recommend appropriate training programs.
  • Collaboration: Strong ability to work collaboratively with the Technology Department, and other departments.
  • Adaptability: Ability to adapt to new technologies and systems as needed.
  • Confidentiality: Maintain strict confidentiality of sensitive information.

Qualifications:

  • Work Experience: Minimum of five years of work experience in database administration or a related field.
  • Educational Requirement: Bachelor’s Degree in Computer Science or related fields preferred.
  • System Administration: Demonstrated experience in system administration, data integration, and user support.

Physical and Environmental Conditions:

  • Sitting, standing and walking for an extended period of time.
  • Requires the mobility to stand, stoop, reach, and bend and the ability to lift, carry and/or pull boxes and items not to exceed at least 30 pounds.
  • Adverse movements required such as reaching overhead, bending, or crouching.
  • Simultaneous/repetitive uses of both hands is required for writing and data entry.
  • Excellent sensory skills are important (sight, hearing and speech) as well as the ability to communicate effectively.
