How do I move a Participant from one TeamRaiser Event to another?

Sometimes a participant will register for one event and then for various reasons will not be participating in the event that they registered for, but the want to participate in another event instead.

You cannot directly move a participant from one TeamRaiser Event to another, but there is a series of steps you can take to move them from one event to another:

In this Example we have a participant who is registered in Event A and needs to be moved to Event B.

1) Perform an offline registration of the participant to register them in Event B. Do not record any Registration Fees while doing so.

2) Look up the Participant in Event A

3) For each Gift listed, you will need to perform a Soft Credit to assign that gift to the participant in Event B. See the Help for instructions on performing a Soft Credit.

  • Note: You cannot Soft Credit any registration fees or additional gift that the participant gave when registering in Event A. This is normal and we'll cover that in a few steps.

4) Once all Gifts have been Soft Credited to the participant in Event B and there are no more gifts assigned to the participant in Event A, you need to look up the Participant in Event A and click on the "Make Inactive" link.

5) After making the Participant in Event A inactive, click on "Delete Registration" and chose the option for "Convert the registration payment to a gift that is soft-credited to the event ." Please carefully read the on screen instructions and Help regarding Deleting Registrations (particularly if the participant registered other participants at the time of registration or if they purchased any Upsells during registration).

6) Look up the constituent's gift that is now credited to Event A (an easy way to do this is to look up their Contact record in Constituent360 > Contacts, then go to the Transactions Tab). Perform a Soft Credit on this donation and assign it to the Participant in Event B.

7) If the gift you Soft Credited in step 6 should be a registration fee to cover the cost of the participant participating in Event B, you will need to open up a Support case with Convio Support. Please include in the ticket:

  • The Confirmation Code of the Gift that needs to be converted to a registration fee

  • the FR_ID of Event B (when managing Event B, look in the address bar for the text that says "fr_id=1234" - it is the 1234 that Convio Support will need)

  • The Amount of the gift that should be considered a registration fee (any remaining amount will then be considered an Additional Gift)

Convio Support will convert the transaction that was originally the participant's registration fee for Event A into the participant's registration fees for Event B.
