What is the difference between "Donation Amount" and the "Gift Amount" found in the TeamRaiser Gift Details Report in Reportwriter?

Options

The Donation Amount is going to display the Total Amount of the transaction that was processed through the credit card/cash/check. In other words, if there was a $25 registration fee and a $10 additional gift and an Upsell of $5, then the Donation Amount will show $40.

The Gift Amount field includes only "Donations to a participant/team/event" and the "Additional Gift Amount" at time of registration. So based on the scenario above, the Gift Amount will show $10 (Additional Gift) and the Donation Amount will still show $40.00

I suggest that you include in the report columns the field called "Offline Status". This field shows whether an Offline transaction is "Confirmed" or "Unconfirmed". If the transaction is Unconfirmed, then the Donation Amount will always be $0 and the Gift Amount will be $X amount. Once the Offline transaction is Confirmed, the Donation Amount will change from $0 to $X amount.

Now, the Gift Details Report should not be used to determine the Fee(s) Paid (Registration Fees), Additional Gift Amount, and Registration Date. Preferably, we suggest that you use the TeamRaiser Registration Report in Report Writer to get those amounts. The Gift Details Report is Donor based vs the Registration Report is Participant based. Meaning, that if you include Fee(s) Paid and Additional Gift Amount fields in the Gift Details Report, then the system will display content in those field for each time a Donor gave to a Participants.

For Example: John Doe registered on 02/15/09 and paid a $25.00 registration fee and gave an additional $5. Let's say that the donor, Jane Doe, gave to the participant, John Doe, $100 on 3/01/09 Linda Joe gave $200 on 03/08/09, As an admin, you run the Gift Details Report from 03/01/09 - 03/08/09 to find out how many donations were received.

If you add the columns Fee(s) Paid, Additional Gift Amount, and Registration Date, the report will show the following:

Donor_First_Name Donor_Last_Name Participant_First_Name Participant_Last_Name Fee(s)_Paid Additional_Gift_Amount Registration_Date Gift_Amount($) Donation_Amount($) Date_Recorded

Jane Doe John Doe 25 5.00 02/15/09 100 100 03/01/09

Linda Doe John Doe 25 5.00 02/15/09 200 200 03/08/09

To avoid confusion, we recommend to setup the report as follows:

Donor_First_Name Donor_Last_Name Participant_First_Name Participant_Last_Name Gift_Amount($) Donation_Amount($) Date_Recorded

Jane Doe John Doe 100 100 03/01/09

Linda Doe John Doe 200 200 03/08/09

Total Donations for 03/01/09 - 03/09/09 is $300

The columns Fee(s) Paid, Additional Gift Amount, and Registration Date are the participant based fields. Hence the recommendation of using the Registration Report in order to pull this information in just one row for Fee(s) paid, Additional Gift Amount, and Registration Date.

Now, if you do want to use the Gift Details Report to find the Donation Amounts and the Additional Gift Amounts, as well, then you should add to the columns the field "Is Registration?" or "Donation Type". For the "Additional Gift" at the time of registration, the Donation Type shows "TeamRaiser Registration" and/or for "Is Registration?" shows True. For a direct Donation to a participant/team/event, the Donation Type shows "Donation" and/or for "Is Registration" shows False.
