The National Archives Foundation (NAF) is seeking a Database Consultant to assist with data entry and development support.

The Database Consultant will support the Foundation’s mission by providing direct assistance with fundraising efforts. The consultant will assist with entering all donor and gift data in a timely manner as well as performing the necessary corrections and adjustments within the donor database to properly track data and steward donors. This role will work collaboratively with members of the Foundations Development and Finance teams to gather, validate and enter all donor and gift data into the database. Knowledge of CMS management and the ability to work with the Foundation’s databases (Blackbaud’s Raiser’s Edge NXT, WealthEngine, ResearchPoint, MailChimp, Shopify) will be vital.

The consultant must possess excellent process management skills, time management skills, and be detail oriented.

This is a contract hire at $25 an hour, with an expected 20 hours per week. The anticipated contract start date is March 2024. This position would require a minimum of 10 in-office hours each week. This is a hybrid role.

Job Elements

Gift Processing

  • Manage Raiser’s Edge gift entry process, conforming to and maintaining SOPs procedures and tracking systems, including stock gifts, and credit cards gifts to the Foundation
  • Process incoming funds and reconcile/coordinate gifts with Finance Department
  • Determine appropriate gift designations by reviewing accompanying documentation prior to entry
  • Track donor actions and correspondence in Raiser’s Edge
  • Maintain filing systems offline and in Raiser’s Edge
  • Create and maintain gift backup for annual audit
  • Entering pledges and pending gifts as directed by gift officers
  • Assist donors in updating payment information and recurring donations
  • Confirm and administer matching gifts
  • Generate mail lists for internal donor communications as assigned

Development Support

  • Prepare and process for in house donor mailings, to include renewal letters, direct mail appeals, and other donor solicitations
  • Support Database Manager in completing acknowledgement letters as needed
  • Conduct research as assigned
  • Serve as support for donor inquiries and customer service requests
  • Assist with donor emails and phone communications as needed.
  • Assist with mail list merging between Raiser’s Edge, Mailchimp, and other software as assigned.
  • Process and update gift acknowledgement and renewal letters, including mailing, appeals, event invitations, processing invoices, stuffing envelopes, and email correspondence with donors and prospects.
  • Process and update return mail in Raiser’s Edge
  • Special projects as assigned
  • Assist with internal meetings including supporting schedules, preparing agendas or taking notes and following actions as needed

The Foundation’s comprehensive Campaign includes a redesign and upgrades to the permanent exhibition space, theater, learning center sections of the building seek to expedite the entrance process, increase visitation capacity, and create a new museum and education experience for visitors grounded in civics and U.S history using modern exhibition strategies and technology. In addition to the physical upgrades to the building, the Foundation is also undertaking:

  • ● Support of the Archives’ national civic education program, “Civics for All Of Us”
  • ● A national 250th anniversary program of our founding and the signing of the Declaration of Independence in 2026.
