POSITION SUMMARY

Greenhills School, an independent school serving approximately 690 students in grades 6 through 12, has an opening for a highly-qualified, detail-oriented professional to be responsible for overall finances in the business office. The controller is responsible for the management of the components of the financial systems at the school. This includes financial reporting along with oversight of all accounting transactions in the general ledger including tuition revenue tracking and posting, oversight of posting of expenses, and endowment and investment related transactions.

The controller will oversee the details of the accounting function including preparation of the monthly financial reports and review and analysis of monthly budget reporting to various departments. Ad hoc reporting for special projects is required and includes the ability for report creation in partnership with the CFO for finance committee and board meetings and initiatives. This includes assisting with work on budgets and long-term financial models.

The controller will supervise the accounting, accounts payable, and receivables functions and will communicate effectively with all constituencies, including parents/guardians, faculty, staff, and students.

DUTIES AND RESPONSIBILITIES:

  • Assist the CFO in oversight over all financial data, including receivables, contributions, cash management, investments, fixed assets, payables and budgeted expenses.
    • Reconcile Tuition Receivable detail in FACTS to general ledger monthly
    • Reconcile Student Billing Receivable detail in FACTS to general ledger monthly
    • Journal all FACTS activity to general ledger- billing and payments
    • Maintain oversight over all receivables and issue collection notices as needed to minimize bad debt expense
    • Create journal entries for contributions in Raiser's Edge to Financial Edge and balance monthly
    • Reconcile all bank accounts to general ledger monthly and follow up on all corrections as needed
    • Maintain Fixed Asset database, lapse schedules, additions and deletions and balance to general ledger
    • Maintain reconciliation of all balance sheet accounts
    • Prepare operating statement monthly, examine key variances and report to CFO
    • Prepare and distribute departmental expense detail reports to dept chairs monthly and answer questions as needed
    • Assist accounting specialist in payables expense coding as needed
    • Maintain all aspects of investments, including Net Asset schedule, earnings, restrictions and quarterly reconciliation to investment statements
    • Prepare appropriate reports of endowments and related restrictions to Advancement as needed
    • Advise key school staff on endowment restrictions and appropriate releases and usage of endowed funds
  • Participate in annual audit as key point person providing majority of account reconciliations, schedules and answers to questionnaires
    • Perform key year-end closing procedures including managing year end cutoffs, expense allocations, and closing journal entries
    • Prepare assigned Tax form 990 schedules
    • Maintain communication with auditors and provide all requested data on their site
    • Maintain audit controls throughout the year, including password maintenance and security clearances on key accounting software, managing separation of duties as required, directing other staff which participate in accounting cycles.
  • Assist in financial aid analysis
    • Evaluate all financial aid applications in appropriate software, analyze tax forms and make appropriate award suggestions
    • Balance final awards to Financial Aid database, Enrollment database and FACTS and journalize details
    • Provide award detail reports as needed to CFO
  • Assist in school re-enrollment process
    • Rollover FACTS database each year by communicating with Enrollment office and parents to determine which students are not returning
    • Assign tuition rates in FACTS as well as proper credits, including remission, financial aid, and evergreen awards
    • Manage all tuition payment schedules in FACTS with assistance from accounting specialist, including parent communication, FACTS profile and payment cycle management, billing setup, etc.
    • Balance student counts in FACTS to Enrollment database
  • Miscellaneous projects
    • Evaluate Visa/expense card products, especially back-end integration to accounting software
    • Work with payroll/human resource admin to develop travel expense policy
    • Enforce IRS tax laws by evaluating taxable reimbursements paid to staff and submit to payroll
    • Prepare data for IRS 1099 NEC forms annually
    • Assist payroll and accounting admin staff in all accounting related issues

SKILLS AND EXPERIENCE REQUIRED:

  • Minimum 5 years as an accountant in non-profit organization, preferably a school environment
  • Proficient in Excel, Blackbaud FInancial Edge, and Raiser's Edge
  • FACTS Tuition Management experience a plus
  • Minimum bachelor's degree will be considered for on the job experience

PHYSICAL REQUIREMENTS TO PERFORM THE ESSENTIAL FUNCTIONS:

  • Work is conducted primarily in an office environment / outside environment
  • Operates machinery used in typical school-based administrative office
  • Greenhills School property is a tobacco-free environment.
