Job Summary

The Advancement Services Specialist develops and implements a range of events, programs, and services that support the strategy and objectives of the Advancement Services department within University Advancement.

Job Description

Typical duties may include but are not limited to:

  • Prepares reports, proposals, and general correspondence.
  • Coordinates gift processing and maintains a log of all contributions received. Ensures all monetary handling protocols are followed.
  • Maintains constituent records, mailing lists, and donor database in accordance with record retention guidelines.
  • Maintains an accurate and efficient system of cash, check, and online credit card processing system. Receives, logs, posts and receipts all donations daily using Raisers Edge donor software.
  • Prepare timely and accurate gift acknowledgements and tax receipts.
  • Prepare pledge reminders as appropriate.
  • Prepares correspondence, form letters and other reports, sometimes involving non-standardized data or information of complex nature. Assists with project mailings, manipulates data and uses mail merge.
  • Processes Matching Gifts, including filing of all related paperwork and responding to all requests made by matching gift organizations.
  • Performs special clean-up projects within the donor database.
  • Prepare tribute and memorial gift acknowledgement cards and letters.
  • Required to handle all confidential records in accordance with University Advancement Policies and Procedures.
  • Must be PCI Compliant (Responsibilities include accepting credit card payments).

Other Duties:

  • Performs other job-related duties as assigned.

Additional Job Description

Required Qualifications:

  • High school diploma or equivalent.
  • Four years of professional work experience with data entry, records management, or clerical support.
  • Computer experience in Microsoft (MS) Office (Outlook, Word, Excel and PowerPoint).
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.

Preferred Qualifications:

  • Bachelor’s degree from an accredited institution in Marketing, Communications, or closely related field.
  • Data entry/support experience in a field involving a high degree of interpersonal contact with key constituents.
  • Experience with Raiser’s Edge (donor record software).

Knowledge, Skills & Abilities:

  • Knowledge of and proficiency with database management applications such as Raiser's Edge.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong organizational skills and the ability to prioritize and complete simultaneous projects.
  • Ability to create, compose, and edit written materials.
  • Ability to collaborate and work effectively within a diverse community and willing to contribute to a team effort.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to take initiative to plan, organize, coordinate and perform work in various situations when numerous and diverse demands are involved.
  • Ability to maintain confidentiality and discretion at all times.
  • Ability to work evenings, nights and weekends as necessary.
