The Role:

The Development Assistant will play a key role in the support of ongoing Development team systems and operations, including project management, internal communications, and event support. The Development Assistant will provide high-level administrative support to the Director of Donor Engagement and Special Events and the Chief Development Officer, and will be motivated by the critical role of support work as a driving force behind collective team impact. They will provide support in the planning, production, and execution of cultivation events and the Annual Gala. Responsibilities include expense management, scheduling and other special projects for the Development team. The ideal candidate will be an excellent communicator, relationship builder and project manager who is efficient and attentive to detail. This individual will support initiatives to strengthen the team’s work as a whole.

Responsibilities:

Administrative Support

  • In conjunction with the Chief Development Officer and Finance team, track the Development team expense budget
  • Coordinate internal Development team meetings and retreats, working closely with the Chief Development Officer to support a positive team culture and provide team professional development opportunities
  • Provide administrative support for internal communication, within the team and with key stakeholders, across the Educational Alliance network
  • Provide administrative support to the Chief Development Officer in his management the board and development committee, including preparation of reports and materials for board meetings, and materials to support board fundraising efforts
  • Update Raiser's Edge database records with constituent action details and other data
  • Provide other administrative support to the Chief Development Officer:
    • Including but not limited to developing agendas for meetings, arranging travel, managing correspondence, calendar management, processing expense reports and managing reimbursements

Project Management and Strategic Operations

  • Help coordinate internal Development team meetings and retreats, working closely with the Chief Development Officer to support a positive team culture and team professional development opportunities
  • Provide support for internal communication, within the team and with key stakeholders, such as Program staff, Finance staff, Communication staff and Executive team members
  • Provide general support in the implementation donor cultivation events, including our annual gala
  • Maintain and update the Development Outlook Calendar and the Development Stewardship Calendar as necessary.

Events

  • Assist in tracking budget and payment to vendors.
  • Responsible for tracking event RSVPs in Raiser’s Edge and entering event data at the end of each event.
  • Assist with gathering and ordering materials for events.
  • Attend and assist Director of Donor Engagement and Special Events with all tasks as applicable on the day of the event, including event set up, guest registration, and pack-up.

Other

  • Attend staff meetings and trainings as required
  • Perform special projects and other duties as assigned

Requirements:

  • Bachelor’s Degree and some professional work experience
  • Outstanding written and oral communications skills
  • Professional experience in managing work related to non-profit administration or general fundraising
  • Team player and a passion to build relationships with internal and external stakeholders
  • Capable of processing and organizing large amounts of information quickly
  • Excellent customer service skills handling matters in courteous, friendly and timely manner
  • Ability to maintain confidentiality
  • Self-motivated, highly efficient, strong attention to details
  • Detail oriented
  • Ability to work in high pressure environment
  • Computer proficiency in Microsoft Office
  • Previous experience with a fundraising database
  • Able to work a flexible schedule as needed (evenings and weekends)
