Position Reports To: Head of School (headofschool@rawsonsaunders.org)

Job Overview: This position's primary function is to manage and maintain Rawson Saunders' Student Information System (Blackbaud's K-12 Education Management Solution) to ensure the smooth operation of student data management. The role also involves providing comprehensive support to staff, faculty, and parents in their usage of the system through troubleshooting and training. Additionally, this position is responsible for offering support and training to faculty and staff on various other software systems, including but not limited to the NWEA database, Acadience, Magnus Health, Raiser's Edge, Financial Edge, JotForm, Citrix, and Library World.

Responsibilities and Duties

1. Managing and maintaining the Rawson Saunders' Student Information System:

• Create and maintain accurate records according to established data standards.

• Ensuring data consistency across systems.

• Proactively reach out to individuals to obtain any missing vital information and make necessary updates.

• Coordinate with the Development Office's Raiser's Edge database and the accounting department's Financial Edge database to ensure data synchronization.

• Notify relevant staff members of any updated information that may impact their respective departments.

2. Support and train teachers:

• Assist teachers in effectively utilizing the system for tasks such as gradebooks, rosters, attendance, report cards, printing reports, and schedules.

• Provide training and guidance to teachers on system functionalities and troubleshoot any issues they encounter.

• Conduct comprehensive training sessions for faculty and staff at the beginning of each academic year in large groups and department meetings. Provide ongoing 1:1 training sessions as needed throughout the year.

• Develop training materials and documents for reference.

3. Support and train staff and admin:

• Assist staff members with various tasks, including learner profiles, reviewing report cards, generating reports, scheduling, and lists.

• Provide necessary training to staff members in Development, Communications, ALT, Admissions, and Nurse’s office to ensure stakeholder satisfaction and software proficiency.

4. Schedule management:

• Collaborate with administration to schedule summer term and the academic school year within the system.

• Make necessary schedule changes throughout the school year and create new ALT and Math classes throughout the year as required.

• Help to coordinate the transfer of a new students placements by communicating with affected parties, and providing grades to the new teacher.

• Utilize creative problem-solving skills to address unique scheduling challenges associated with supporting students with specific needs in a specialty school setting.

5. Records management:

• Fulfill records requests by generating and sending official transcripts to universities for Upper School students, and work with the Coordinator of Transition & Outreach to fulfill records requests from other schools.

• Maintain a comprehensive record of all records requests for reporting purposes.

6. Admissions and Enrollment:

• Work closely with the Admissions Officer to provide support to new applicants, and assist with the setup and maintenance of the admissions portal.

• Create enrollment contracts and enrollment forms, distribute them to families, and ensure accurate data submission for student enrollment.

7. Additional Duties

• Update and maintain the MAP Testing database in coordination with the Director of Dyslexia Services. Provide technical support for MAP testing twice a year.

• Support the usage and maintenance of the Acadience software.

• Maintain the Library World Database, work with library aides to keep the library tidy, create new library cards for new students and teachers, and bill for lost and overdue books.

• Support the School Nurse in effectively utilizing the Magnus Health system.

Necessary Qualifications:

Proficient in Google Suite, Microsoft Office, project management, customer service, database management, software training and support, and in-depth experience with Blackbaud’s K-12 Education Management Solutions preferred.
