Typical Schedule: This is a full-time position. Some evenings and/or weekends may be necessary to meet the needs of the college.

Purpose: This position will support the development operation by managing all information-related activities of the college’s fundraising program. This includes prospect research, information tracking, other research, and quantitative reporting of development activity.

Essential Job Duties:

Gift Processing

  • Receive, record, deposit, and recognize all gifts to the college within 48 hours.
  • Process monthly recurring gifts, payroll deductions, over the phone donations and occasionally in person event registrations.
  • Issues statements, pledge reminders, donor reports, etc.
  • Reconciles deposits with the business office on a regular basis.

Data Information and Reporting

  • Manage the database and maintain biographical records with routine data audits and importing data updates.
  • Function as the primary administrator for the following software/sites: Raiser’s Edge, LexisNexis, ResearchPoint, NetCommunity, Blackbaud Merchant Services, and the Foundation Directory.
  • Perform advanced data functions including merging records, clean up, global changes, and special import projects.
  • Ensure all advancement related activities follow the College’s Gift Policy. Advise the Associate Vice President for Communications and Development with any recommendations regarding changes.
  • Periodically, review the College’s Gift Policy and Gift Procedures Manual to ensure timeliness and relevance, particularly as tax law changes are enacted. Advise the Associate Vice Associate President for Communications and Development with any recommendations regarding changes.
  • Manage prospect research for major donors and prospects.
  • Gather, analyze, track, and report information on current and prospective donors.
  • Primary contact and overall technology resource for the office, which includes the ability to train others and act as a liaison with IT staff on all technology issues.
  • Provide all necessary data reports to the development team in an efficient way. This includes weekly, monthly, semi-annual, and annual reports.
  • Create mailing and email lists for solicitations and event invites.
  • Develop and generate simple and complex queries, exports, reports, metrics tracking, and other ad hoc requests as needed for fund development, alumni engagement, career development, and other department requests as required.
  • Assist with event RSVP’s and attendance tracking including the preparation of the Raiser’s Edge Events module and NetCommunity registration pages.


Efficiency Improvement

  • Seek continual improvement in the way the development office conducts business.
  • Advise the College on trends in advancement, prospect research, data analytics, and moves management tracking.
  • Act as a problem solver concerning systems, processes, and technology.


Minimum Education, Skills, and Abilities:

  • Bachelor’s degree required.
  • Strong knowledge of database best practices and procedures.
  • Self-motivated, flexible, and reliable and task oriented.
  • A high level of organizational and analytical skills, attention to detail and ability to meet deadlines with accuracy are essential.
  • 1-3 plus years’ experience managing development and/or alumni databases; certified in Raiser’s Edge and/or proven track record and demonstrated expert level of proficiency in Raiser’s Edge preferred.
  • Must have strong interpersonal communications skills, judgment, and discretion with confidential information.
  • Technically minded person who has an in-depth knowledge of Windows and Microsoft operations, specifically in Word, Excel, and Access.
  • Proficient in the use of a broad variety of print and online resources.
  • Maintain respect for donor confidentiality and privacy.
  • Ability to manage complicated support systems.
  • Demonstrated strong research skills and strong written and oral communications skills.
  • Must be able to consistently present a positive attitude and contribute to a harmonious team environment.
  • Ability to work nights and/or weekends when necessary to serve the needs of the college.
