Overview and Responsibilities

Saint Mary’s University of Minnesota is seeking to hire a Senior Director of Advancement Services. This position is based on either the Winona or Minneapolis campus, with option to discuss remote. This position is responsible for overseeing all data management, gift records, prospect analysis, reporting, and analytics functions for the office of Advancement. This includes ensuring the integrity of the database and the general in-house operations, policies, and procedures, list productions, financial and constituency reporting, and campaign reporting. Additionally, the director is the primary liaison with the Information Technology office regarding the use of Advancement tools and the integration of university data related to the strategic goals of Advancement.

Advancement Services Management and Oversight

  • Oversee all functions related to data processing, database management, gift processing, applications support, prospect research and analysis, events logistical support, data requests, and reporting.
  • Ensure the accuracy of constituent records utilizing all available data sources including constituent supplied information (alumni, parents, friends, corporations, and foundations), data append services, faculty/staff updates, etc. Additionally, ensure data is properly imported and updated from other university sources (Admissions, Human Resources, the Registrar).
  • In collaboration with Major Gifts team leadership and prospect research/management staff, oversee and plan strategies & structures that accomplish the flow of prospects into and through a robust major and planned gift, leadership, and stewardship pipelines.
  • Ensure timely and accurate entry of all gifts received into the Raiser’s Edge NXT, including accurate and timely receipting and proper reconciliation with the Business Office.
  • Oversee accurate and timely response to data requests from Advancement staff, other campus offices, and other campus groups as needed.
  • Provide accurate reporting on Advancement operations to both internal and external constituents including, but not limited to, Board of Trustees Reports, productivity and progress reports as identified by Advancement leadership, VSE, and MPCC annual surveys, etc.
  • Support the Assistant Vice President, Advancement in the creation, management, and communication of Advancement policies and procedures.
  • Coordinate and/or deliver Raiser’s Edge NXT training for Advancement staff.
  • Serve as the primary liaison between University Advancement and Information Technology and other university data providers.
  • Support and or serve on university-wide committees tied to Data Governance and Integrity.
  • Perform other duties as assigned by the Assistant Vice President of Advancement.

Staff Management and Development

  • Via supportive and engaged leadership, direct and manage the work of the Advancement Services team in planning, assigning, and scheduling work priorities, reviewing work and ensuring quality standards, and overseeing productivity and growth.(3.5 direct reports: (1) Prospect Research Manager, (1) Gifts Processing Specialist, (1) Data Services Specialist, (.5)Stewardship and Data Specialist).
  • Identify career development opportunities with appropriate training, encouragement, and supervision.
  • Provide performance feedback and act as coach and mentor.

Essential Skills and Functions:

  • High level of proven proficiency in the Raiser’s Edge NXT and expertise in RENXT related best practice.
  • Advanced ability to prioritize tasks, schedules, and objectives.

  • Attendance and punctuality are essential functions of the position. Regular attendance is an essential job function to ensure teamwork and face-to-face interaction with faculty, staff, students, and alumni and friends of the University.

Qualifications

  • Bachelor’s degree or an equivalent combination of education and experience
  • Minimum of 7 years of experience in data management or prospect research/management, or higher education advancement services (operations).
  • Experience directly supervising employees.
  • May consider other acceptable equivalent combinations of training and experience.
