Job Title: Development Associate

Reports To: Development Director

Works Primarily With: Development Director, Executive Director and Office Manager

Type of Position: Part Time (typically 18-24 hours/week with some seasonal fluctuations)

QUICK POSITION DESCRIPTION:

The Gift Entry and Data Specialist is responsible for processing regular gift batches into a comprehensive, integrated, relational database system; the production of gift receipts, individualized acknowledgment letters, and gift batch reports; updating constituent information; creating queries and reports necessary for descriptive, diagnostic, predictive, and prescriptive analysis for targeted fundraising and donor stewardship. This position will adhere to Piedmont Land Conservancy’s policies regarding gift, pledge, and payment recording, as well as updating and validating information to maintain the integrity and accuracy of constituent records. The position will be responsible for coordinating a data integrity program that will focus on maintaining accurate constituency data records.

KEY JOB FUNCTIONS

Coordinates and prioritizes day-to-day gift processing activities including, but not limited to, mail collection/sorting, review of gift documentation, scanning of gift documentation into donor’s records, maintenance of gift files, and handling gift-related customer service calls as necessary, focusing on a positive donor experience.

  • Accurate and timely processes of gift batches into the database system including checks, credit cards, securities, electronic funds transfers, payroll deductions, monthly recurring gifts, and matching gifts to adhere to timely turnaround and receipting/acknowledgment policy. Communicates with supervisor to ensure precise processing of gifts and to ensure financial integrity and accuracy.
  • Process matching gift verification with employers either online or via paper form to ensure payment.
  • Produces gift receipts and individualized acknowledgment letters for all gifts received in a timely and accurate fashion.
  • Maintains pledge records/files; tracks outstanding pledges and produces donor-centric pledge reminders and reports as appropriate.
  • Makes timely and accurate constituent/organization updates and new record creation in database system to biographical and other relevant data received through a variety of internal and external sources including gifts, online information forms, internal updates, surveys, events, and research.
  • Completes regular data audits from existing standard reports and suggests the creation of reports to ensure consistent and accurate data entry.
  • Proactively identify methods and approaches for improving the quality of the information.
  • Ensure database consistency, accuracy, and quality through the design and review of audit trails and reports.
  • Solves problems associated with data integrity and consistency.
  • Runs quarterly NCOA process.
  • Develop database reports and queries that will provide information as required by Development Director and Executive Director in the cultivation, solicitation, and stewardship of donors.

ESSENTIAL JOB REQUIREMENTS:

  • Associate degree plus a minimum of three years’ experience
  • Relational database/CRM experience preferably Raiser’s Edge
  • Proficiency with MS Office Suite required
  • Ability to learn complex data entry codes and procedures
  • Excellent organizational skills
  • Ability to employ sound judgment and maintain gift and record confidentiality
  • A high level of integrity, honesty, and strong work ethic
  • Comfortable working on multiple tasks with interruptions in an energetic environment
  • Ability to take initiative and follow through
  • Ability to work well under pressure with periodic heavy workloads (especially calendar and fiscal year-end)
  • Attention to detail and pursues quality in accomplishing tasks
  • Ability to analyze problems, utilize internal or external resources, offer solutions to problems and implement solutions
  • Expected to perform under minimal supervision and act independently within the scope of normal duties and responsibilities
  • Ability to work both independently and in a team-oriented, collaborative environment
