the Advancement Operations Database Coordinator supports the operations of the External Relations Institutional Advancement (ERIA) department by maintaining The Raiser’s Edge and NXT donor database, coordinating the flow of data from various platforms into The Raiser’s Edge and collaborating with division team members on projects related to fundraising, gift processing, alumnae and parent engagement, stewardship, and community communications.

Typical responsibilities:

  • Conduct regular updates of constituent contact information obtained through self-report forms, staff contact, returned mail and external data health tools, and clean up data as needed.
  • Update records as appropriate in response to solicitations, recording new contact information and/or constituent contact and solicitation preferences as requested.
  • Assist the advancement services team in managing the accuracy and integrity of donor and alumnae information, participate in gift entry audits and reporting; troubleshoot data discrepancies. Conduct constituent and alumnae record audits.
  • Work on cross-departmental projects in support of the ERIA division strategies and goals. Participate in project planning meetings contributing expertise based on knowledge of the data and systems used within the division.
  • Respond to data requests in a timely manner, collaborate with requestor to ensure accurate fulfillment of the request in support of ERIA operations and produce deliverables according to schedule.

Typical Experiences/Skills:

  • General understanding of donor-centric fundraising principles and practices and the ability to translate that knowledge into data management procedures.
  • Knowledge of current trends in database management, annual giving and gift management support, using CASE (Council for the Advancement and Support of Education), AASP (Association of Advancement Services Professionals), APRA (Prospect Research), and AFP (Association of Fundraising Professionals) professional association guidelines.
  • Ability to manage competing priorities and multiple tasks effectively with flexibility.
