The Loomis Chaffee School Alumni/Development Office seeks a motivated, detail-oriented, collaborative professional to join our team as Database Manager. As the key custodian of data, the Database Manager is responsible for the administration of the school’s database, providing data support to our development and alumni/parent relations teams. This role includes maintaining data quality and integrity, implementing best practices, following business rules and protocols, responding to requests for lists and reports, and maximizing the utilization of our Raiser’s Edge NXT software. The Database Manager is responsible for advanced tasks, including report writing and the accurate transfer of data between software systems, importing/exporting data, and global changes.

The position requires strong analytical and communication skills, data entry precision, attention to detail, and the ability to multi-task, problem solve, work with deadlines and under pressure, and work autonomously or within a team. Furthermore and more generally, it requires a growth mindset to learn new technologies to improve our data processes.

Duties and Responsibilities

  • Manage the day‐to‐day operations of the Raiser’s Edge database for the Alumni/Development Office to include, but not limited to, setting up new user accounts and security; providing database training; working with the Director of Advancement Services & Operations to create table structures and coding that accurately capture donor information; executing global changes; and designing queries to keep records up to date for mailings, analysis, and reporting.
  • With experience in report writing, oversee the fulfillment of ad hoc requests for data, including mailing lists, giving analysis, and other operational needs.
  • Help resolve data and system issues; assess and recommend standardized processes and procedures. The position is main point of contact for all database issues and questions.
  • Assist in data entry and data transfer from internal sources (e.g. Veracross) and external sources (e.g. GiveCampus, Graduway).
  • Proactively add and update information to assist in the maintenance of the constituent database and the management and maintenance of biographical files, understanding the department's needs and utilizing our data to meet those needs. Work as part of the team to complete cleanup projects within the constituent database. Assist with special projects, proposals, data pulls from and data loads into the constituent database.
  • Execute routine database hygiene and maintenance efforts, including duplicate management, periodic audits, and quarterly AddressFinder and DeceasedFinder updates. Collaborate with alumni/development team to resolve data integrity issues.
  • Manage and maintain the integrity of constituent data to ensure the currency and accuracy of information. Research best practices for data integrity and proactively communicate opportunities to enhance donor record information.
  • Maintain procedural documentation for all responsible tasks.
  • Research and integrate new technology systems and programs within Raiser’s Edge NXT.
  • Periodically perform gift entry into Raiser’s Edge as a backup for the Gift Processor.
  • All members of the Alumni/Development Office are expected to work extended hours during Reunion Weekend in June.
  • Execute other tasks as assigned.

Qualifications and Skills

  • Required
    • Expertise in Blackbaud Raiser’s Edge NXT (Database and Web Views), Microsoft Word, and Excel.
    • Experience/expertise with Crystal Reports (preferred) or equivalent report writing system.
    • Possess strong analytical skills and communication skills;
    • Demonstrate ability to focus on a task for an extended period of time;
    • Possess strong planning and organizational skills and the ability to manage competing priorities;
    • Demonstrate professional and collaborative demeanor within department and across campus;
    • Ability to work independently and as part of a team;
    • A problem-solving mindset. The willingness to try new solutions, fail, and try again.
    • Meticulous attention to detail and high degree of accuracy
    • Extremely organized and deadline driven

Experience

  • Minimum of five-plus years of experience in development

Education

  • Bachelor’s degree preferred
