Need Donor Category report based on Receipt Amount

Hello friends,


Before I landed this position,  I am told the staff last year had a very difficult time preparing donor lists for the Annual Report.

We need  our donor levels to be based on receipt amount (not gift amount) and the Donor Category Report does not allow for this.

Does anyone have a fix for this?

We are battening down the hatches and getting ready to do the next Annual Report, and we're hoping that one of you Wiz's will have a solution!

  • On the filters tab you can select which campaigns and/or funds you want to include.  Each year we only have two campaign codes - one for tax-deductible gifts and the other for non-tax deductible/expenses so we just choose the tax deductible campaigns for all years.
  • Fortunately we don't do this, I can actually use the Donor category report

    Probably what I would do is run a query with summary information/ summary for gift/ total receipt amount and plug in your level as "between X and Y amount" (one query for each level)  and all other criteria (dates you run the report for, Funds, etc.).

    Then use each resulting list of Constituent IDs to global add a "level" attribute to these records.

    Finally run an export that outputs the Level attribute, Constituent IDs (for cross reference) and the Recognition names.

    Maybe somebody here as a quicker, easier solution?!
  • Christine, are you saying that when you enter e.g. an Event ticket that includes benefits like a dinner you split the gift between 2 different Campaigns?
     

  • Yes, we use different campaigns.  We only create two for each fiscal year. 
  • Constituent Exports (and Constituent Queries) have a Summary for Gifts by Total Receipt Amt. I'd use that summary to determine giving levels.

    I normally use the Donor Category reports for annual reports lists also -- but was just this week challenged to pull a list in a different order.  And yes, discovered that the DCR would not allow for the type of sorting required (by the First Gift Date).  I wrote a query for the group we need listed and Sorted it in the order needed.  Then pulled them thruogh export and included whatever fields I needed to double check the work so that all the folks that should be on there will be, or not based on criteria requested. 


    I think you are going to have to do the same.  And if you Export the Summary Field for Total Giving and set the time period, you will be able to sort them into the Giving Levels you need.
