Adding a field to our donor form

Options

I need to add a new field to our donor form. I went to fundraising>donation management and selected all forms and then selected the form I wanted. I then clicked on design donor screens and attempted to add a custom field (the one I wanted wasn't there) and it didn't seem to work. I got there by editing another unused field to suit my purpose however, the name of the new-edited field doesn't show up in the list.

  • Once you've created the new custom field, you will need to highlight that field and make sure that you have added it to your form by making sure that it is showing up in the right hand column of elements that are on your form.

This is a topic that we can also cover in an upcoming office hours session. It might make it easier if I can walk you through the steps because there's quite a few steps to getting a custom field to work as desired on a donation form. Remind me of this question in the next office hours (or during tomorrow's office hours which will be hosted by Patrick).

Great question, and we'll follow up with everyone in office hours to make sure you can add fields to your donation forms.

    Best,

I understand adding it to the form and reordering the form elements. What I am not understanding is making the custom field itself.

OK - So I've dug into this to figure out why you (Jenny) weren't able to create and add a custom field to your donation form. It turns out that adding a custom field requires having full database management access within your Convio tools. One of the "powers" that comes along with full database management access is the ability to import and export large lists of constituent data in and out of Convio.

So ... we've got two options here. If you'd like full database management access, you can read this thread on import/export and managing large lists in Convio and take the suggested training. This is the long-term "solution" and gives you more flexibility in your Convio tools.

Or ... post a description of the field you need added and we'll add it for you.

  • The field we need is honoree city and state - which will go under honoree first name and honoree last name. You'll notice that I cannibalized another field (donor full name) to create a work around.

Second question... how do we get these mystical, magical powers?

    Hi there,

I had a look at your donation form set up. At first I thought that you could just use the honor notification field for city and state but then I realized that you were trying to ask for different city and state information for two unique people: the honoree and the person to be notified of the honor gift. This is unusual...usually you wouldn't need the city and state for an honoree unless they were also the person to be notified.

I attempted to enable a custom field for this information, but it didn't work as a solution. The custom field I enabled showed all the time instead of being visible only when the honor gift box is checked. It didn't seem visually appealing.

I'm going to do some more research and get back to you on this.

    All the best,

    Rachael

  • It might help you to know why we need this information. Often honor gifts list an honoree name - John Smith but without the city and state we can't match it up to an existing record that we might have on John Smith or know if it is a new John Smith. Part of this is a flaw in the way Millenium stores tribute gifts information but also we keep very detailed records over a long history with our donors. Labor intensive I know... But the information is valuable to us.
