How to Designate Table Hosts

A newbie question: I would like to designate constinuents who have been table hosts for our annual banquet.  Where is the best place to do this?  In the Constituent Codes or in Attributes?

    If you do not have the event module, then I would vote for an attribute as you could set it up a Table Host and in description put the year and/or other details about the event


    If you have the event module I'd set up an event and then add them as a table host

    Thanks Joanne!  I've inherited a database that is a disastrous mess so I appreciate your advice!  We don't have the event module, so it sounds like attribute is the way I should go.

    One more suggestions - IF it is really important for staff to know if this person was a table host you might want to consider a Constituent Code so it appears on Bio 1


    It all depends on what you want to be able to do with the information, from doing queries, to quickly having the information


    Depends on how many events as well - if this was a one time thing and staff would like to know at a glance that the person was a table host, I'd do a con code.


    If you have a lot of events and they might be hosts several years in a row, I'd do the attribute

  • You may also want to consider adding them as a Solicitor. That way you can list them as a Gift Solicitor for the people at their table (if they are responsible for recuriting guests).

    We recently held our annual breakfast fundraiser and this is how I recorded all of the information in RE:

    1. In Attributes, I added a category called "Annual Breakfast", I made a table for the Description that included Hosted a Table and Declined to Host a Table and entered the date of the event

    2. In Relationships, I added all of the guests who attended for an individual table host and marked the guest relationship as Table Guest and the the reciprocal as Table Host.  The To and From Date was the date of the event.

    3. In the gift record for each gift for this appeal, I made an Attribute (you can name the Category whatever makes sense for your organization) and made a table for the Description of Increased and New Money.  This is especially helpful if you have a matching grant for new money and increased gift amounts.
