Importing guests from contact types - help!

I'm new to the community and hoping someone can help me. I'm trying to import guests to an event but don't seem to be able to manage to link them back up to their full constituent record (where applicable). I've read the import guide and understand the fields that I need - that's no problem - the problem is the guests I am trying to import are contacts with a specific contact type and I'm struggling to output their consitutent IDs...


Can anyone help me with how I can get this info out of RE??

    Welcome to the community, Georgina.  My guess is that you are using a participant query.  You can get the constituent id for the contact if you use either a relationship or constituent query, you can't get it from a participant query.  Let me know if you need further instruction.

    I just can’t get it out of either type of query. The only cons ID it will export is the organisation that the contact belongs to?

  • The screenshot below is from a constituent export that gives me 4 columns: the organisation's ID and name, followed by their contact's ID and name (you can add more columns for extra contacts if requried).


    If the contact name is present but the ID column is blank, it may be that the contacts are non-constituent relations?

    Foolishly, I haven’t tried export, only query so perhaps this is the answer!

    Am I right in assuming you have your event set up in the event module but you do not have any of these contacts there already


    If that is the case you don't have to do an import to put existing constituents into the event.


    You will need their con ids in an Individual type query and can do a Registrants for an event global add.  This will allow you to put the contact type, if they were invited, RSVP info, etc.


    Here is a link to a Knowledge Base article with more info


    If you do decide to do an import of existant constituents into an event I believe you will need the Import ID, not the Con ID and that is something you can export as well

    Thanks for getting back to me. When I do it that way, the only things I can export are the Individual relation import id and the individual relation individual import id? It doesn’t seem to work with either?

    I have the event set up and the organisations on there, it's just the guests of the organisations that I want to add. I know how to do this if I just want to add them as participants that are not linked back to the full constituent record, I'm just struggling to make it work when I want them fully linked. I've read the import guide and tried what it suggests but still no luck. 


    It is the constituent import ID that I'm looking for rather than the regular cons id (sorry - unfortunate typo in original message!)

  • Ah....I understand now...


    Were you able to get it to work?


    I'd love to hear your solution as what I've done in the past is set up all the guests under the org participant record, then there are a bunch of participant records that I can do an update on via an import


    but if there is an easier way I'd love to hear about it  :)
