Soft Credits and stuff

Greetings!  We have a few regional offices that each cover specific states.  How do you handle entry and reporting when the check is from a state outside the region but should still be credited to the region?  For example, Corporation A in FL donates to the FL region but their check comes from corporate HQ in NY.  The NY record gets the hard credit, FL record gets soft credit (there's no changing this).  Is anyone using something other than the gift solicitor field?  I'm sure solicitor would be the solution but wondering if there are any other options without a major change to our gift entry policies.  Can't figure out a way to query and report on this either.  Querying on FL donors for the region excludes the NY corp, even though it is soft credited to a FL record.

if add an indicator (Gift/Attributes) on hard credit ( in your e.g. gift from 'corporate HQ in NY'), you should be able to query this type of gifts with Corporation A in FL donates.

Is there a reason you can't query using the SC address? How would you handle this if you had an individual donor who lived in FL but had a family foundation in NY? Would you not want to always use SC recipient?

I don't see a way in constituent or gift query to query on SC address.  Only seeing name infomation (first, last, title, suffix, etc.).

The preferred address (for the hard credit) is NY, need to get to the SC address somehow.

If your solution relies on leveraging address information from a record, wouldn't that potentially change over time?  If you want that information 'time-stamped' at the time of the gift, I see a potential problem with tying it to address data.  I think you'd have to use a gift attribute of some sort to account for potential address/region changes - you want to capture the region at the time of the gift only?

Changing the soft credit options on the query does not change whose address it is searching for?

You're looking at the Query criteria.  Instead look at Tools > Query Options > Gift Processing and make your choice there about which Constituent to use when evaluating gift data.

Thanks John.  It's more like I'm evaluating constituent address data instead of gift data.  I tested with soft credit Record Processing with a gift and constituent query, neither worked.  


I need to query on the soft credit recipient preferred address state, which doesn't exist:

I do not have time to test my assumption right now but if you change the SC options the way John descibed - when you go to address it should be giving you the address of the SC recipient.

Just realized, going back to my original example, Corporation A's preferred state is actually in NY, not FL.  FL is their alternate address, which is why the query wasn't "working" all this time.

Query on Soft Credit has very limited fields, that is why we create a Constituent Attributes for our Softe Credits so we can easily group them in query; hope it will be improved in furture RE.

Regarding the issue that Joshua has, if we want to query/report on gift, it will be eaiser to create/use  an indicator/field on the gift record, rather than constituent record - even we can query the address fields of Soft Credit, that because as Gina mentioned the address may change over the time.

I know this issue is resolved for you, but I came up with another idea on how to accomplish this task that I think might be useful for serveral other purposes where someone needs information about soft credited recipients yet there is no appropriate object available in the Soft Credit fields. I'm posting so that others can either benefit from the solution or correct my logic if I've made a mistake.


To determine the mailing address (or anything else) for Soft Credit recipients, I would:


Create a Gift query

Under Tools -> Gift Processing -> select BOTH for Soft Credits

Enter your Gift Criteria and for Outputs include Soft Credit Recipient Name right next to Constituent Name along with any other outputs you'd like to see on soft credit recipients (e.g., address information, phones, etc)

If the Constituent Name and Soft Credit Recipient Name are the same, that gift is a Soft Credit Gift and you can use the Address Processing information from the Output for that Soft Credit Recipient

If the Constituent Name and Soft Credit Recipient Names are different, you can ignore the address information as those are hard credit donors


Can someone punch a hole in this logic and tell me where this query will provide inaccurate results?

Aaron - If at the time of the gift the hard and soft credit recipient lived in Ohio, and now currently they live in Florida.  Wouldn't this pull the current Florida address - where you really want to record the gift as being in Ohio at the time it was made?

LOL, yes I also realize Josh's issue is resolved. 


Maybe I really missed something but if the end goal is to get SC info that's not available in query....Just to throw in a different approach that seemed to have been overlooked. As you know query "groups". Take the query of donors, SC to both,to Export. Export preferred addresses there and you'll get it for both HC and SC.

To your point, if a donor makes a donation and then moves to another geographic location you will certainly lose the information about which geographic region the gift originated from, but I was focusing on Josh's example where the donor didn't move. In his example a hard credit donation from one region was soft credited to an organization in another region.


So, using Josh's example, if the check came in from Org_In_NY and was soft credited to Org_In_FL, when Josh runs his query he's going to see Org_In_FL as the donor because our query includes both soft credit and hard credit donors. He'll know that it's a soft credit because the Org_In_FL will be listed as both the donor and the soft credit recipient and the address listed on that record in query will be the address of Org_In_FL because that Org is the donor.


Does that make sense or did I misunderstand you?
