Planned Gift/Estate Gift Relationship Link

Question - When a donor passes away and has left a Planned Gift/Estate we create a new record and name it Estate of (name of person passed away).  My question is what terms are used in the Relationship Tab to link the new record to the orginial donor record?  What is commonly being used?  thanks,  Doug,

  • We don't create a new record. We convert the individual record to an organization record and call it Estate of (name). We link the executor as a relationship to the record and any family links are there as well. That way the Hon/Mem giving, the lifetime giving and the estate gifts are all on the same record.


    Having said that, my suggestion for the Relationship tab terms would be 'Estate record' and reciprocal 'Deceased record' or 'Memorial record'.

    Interesting, however, I wonder . . . What do you do if there is a surviving spouse on the individual record?

    It depends - do you plan to keep the surviving spouse as a prospect or to receive communications? If so - make their record a full constituent record if it isn't already - and link them also to the estate record, very likely as trustee or the like.

    Why convert the record? This removes important information (date of birth, date of death).

    Yes, those fields are no longer available after the conversion. But RE creates a conversion note that captures basic information - First Name: Middle Name: Gender: Deceased: Deceased Date: Primary Addressee: and Primary Salutation:


    We don't see a need for maintaining that information in an individual record. It's more important for us to have the full giving on the one record.

    We use "Linked with Estate Record" and "Linked with Past Giving History"  to link the two records.
