HELP PLEASE!!

Hello! This knowledgebase article which includes directions for how to create an output query from a list of Cons IDs is NO longer working. Has anyone else noticed this? This was such a great feature and an easy way for me to have a query that I could do a global change or add with. Now when I "update" the constituent IDs and choose the create an ouput query, RE knows I did not actually update any records so the query returns ZERO records. I tried to create an exception query but it only offered me an exception REPORT not a query. HELP!

  • Still works for me (just tested it) but then I'm on 7.93. Are you on 7.94/7.95?
  • Teh Knowledgebase article doesn't have the correct information in it. That's what you mean? It still works to create a query list using constituent ID's.
  • I haven't tried using the Output Query method, but I use this one all the time. It works best for groups of 500 or less, but it works well: https://kb.blackbaud.com/articles/Article/41666
  • It does not work for me anymore since I switched to the latest release of RE 7.95 :(

I have over 17,000 to globally change so I would prefer not to do the 500 at a time. This was why I loved this feature so much.

    UGH! Help BLACKBAUD :(

The instructions were correct and always worked for me until we went to the latest release.
  • worked for me as well, but I'm on 7.92

I was going to suggest what Joe did - as long as your list is under 500 creating a query using the con id is one of and copy/pasting your list works great

    What version are you on?
  • And if you have more than 500 it still works. You just have to enter them 500 at a time Constituent ID one OR Constituent ID one of etc. I've put thousands of ID's into one query.
  • I've never done this using Import before, but if you just need an RE Query that pulls Records based on a list of Constituent IDs, you can just paste that list of ConstIDs directly into the Criteria Tab of the Query in batches of 500, as others have mentioned.

How quickly do you need this done?  I can try to test (we're on 7.95) but not until much later this afternoon.  If you need this immediately, I would recommend using Chat Support.

Just be super-careful to avoid overlapping sets! When I have had to do this in the past, I've used Excel as an aid. Start with your list of Constituent IDs in the spreadsheet and highlight the first 500 cells (don't select the row numbers off to the side). Copy them, paste them into your query, then go back to your spreadsheet. Right-click within your selected cells, select Delete or press D, and opt to shift cells up. The set you just pasted into the query will be deleted, the next 500 will slide into place, and the selection pane should remain in place as long as you don't click around in the spreadsheet. This helps a little bit to reduce human error.

There may be a limit to how many you can do this way, though. On one occasion, I had so many that it crashed RE:. BB support told me I should break this up into two or more separate queries.

  • I've used this import/output query method recently and it's worked, but I'm not on the most recent RE release. You should definitely contact support so that they are made aware of the issue.

Perhaps if you already have a file of the constituent IDs you can still get this done using an import? i know global chages are so much faster, but if the method of creating a query isn't working for you and support can't  help, an import may be the fastest option. Otherwise you'll probably have to do the 17,000 500 at a time (34 times? ugh).

    Hi Jill,

I see you've opened a support case to continue looking into this. I've tested in 7.95 and confirmed that Import updates still create an output query even if the records aren't updated. I've also confirmed that pasting into One of in a query also works in 7.95, so I think there's something else causing the issue in this case.

In your support case, we'll be able to continue troubleshooting the issue, but the steps in KB 38639 should still work.
  • Just tried copying a list from Excel and pasting it into "one of", but only the contents of the first cell transferred.  Using hosted 7.95.  Is there something I'm missing?

  • You have to scroll to the bottom of the window and paste in the
last row of the one of field.

  • Or you can use SmartPaste a free addon from SmartThing which allows you to paste thousands of ID to "one of" criteria with one click.

You must scroll down one page and paste into row 8 or beyond (at least the second "page" of rows in the "one of" window).  You can go all the way to the last row, but someone discovered that you only have to go down one screen.  So click on the vertical scroll bar once and then click in an empty row.  Paste the IDs in and they should appear.  If you go all the way to the last row, when you paste the IDs in, it will blank, as if it didn't work.  Click OK and they should now appear in the Criteria.

I briefly tried using SmartPaste but have never been able to get it to work. It appears to install fine and the icon sits in my system tray, but the paste button doesn't show up on the criteria screen.

SmartThing support think it's probably to do with our firewall - has anyone else encountered (or better yet, fixed) this problem? I'd love to get it up and running as it would be really useful to me and other members of the team.

  • I'm on 7.95 and the import still works for me. I did have two exceptions that no longer existed due to merging but it did create the .imp file.

I was able to demonstrate this functionality on the 7.95 sample database very recently, so I can confirm it has not been removed - and thank goodness! I hope your solution will be a quick fix now that support is taking a look at it.
