Query to pick up Pledges written off

Options
Does anyone know an easy to identify pledges that have been written off?

The reason for asking is that I’ve built a Crystal report to show how much income is being written off each month, as the standard write off report didn't include enough information about the original pledge.  I was originally hoping to use Gift Type of "write off" to pick up the relevant pledges but it seem write off are separate gifts and don’t contain the original pledge information.  To get round this i have to export all pledges to spot the small number that ended up being written off which makes refreshing the report very slow.

  • James, how about doing a Constituent Query (can't use Gift Query) to get the records that have any write offs. Then plug that into the Pledge Status Report. You will only get constituents with write offs but it will also contain all other pledges. At least you won't have to export all constituents with a pledge.
  • I wish Write-Offs were separate Gifts that actually functioned as regular Gift Records...and even showed the written off amount as a negative number.  Would make it so much easier.  For a long time, I worked around this by using Adjustments instead, but with the way all of this appears in NXT, it's on my list to go back and make them all Write-Offs again.  However, I will be including a Gift Attribute with the Write-Off Amount, and I already have a Gift Subtype of Write-Off that I put on the Pledge Record, so that I can easily Query for all Write-Offs.

So for you, I would recommend finding them via Michael's suggestion of a Constituent Query, then tagging them with either a Gift Subtype, Gift Code, or Gift Attribute, and then you can write a Gift Query and find them all, and use Dates if needed (that is the one benefit of Gift Attribute...you can put the Date of the Write-Off as the Attribute Date, and not need to try to include any information from the actual Write-Off Record at all).

I also include any written approval (which usually comes in an email) from Director of Development, CFO, etc. and confirmation that Finance has also written-off these amounts as a Gift Note on the Pledge Record.
