Moves managment

Options
Hello everyone,
We are looking for a way to track a particular type of perspective donor. We have a group of people who are not currently assigned to a solicitor but we want to keep tabs on them. We are going to be calling them “Discovery” and “Mid-Range” donor.  One thing that is important to our prospect research staff is that they are able to see the start and end date for when a person is in one of these categories. Basically we are looking for a simple moves management strategy.  For instance someone would start as a discovery person on 03/01/16 and then on 4/1/16 they move up to another category, let’s say they are assigned a solicitor, then they would be assigned to a solicitor on a certain date.  Our prospect research team would like to see the progression of when a person was assigned to what. In my example…

Discover Start date 03/03/16 End Date 04/01/16
Solicitor Assigned Start date 04/02/16 End Date: none still assigned

The problem I am finding is that there is not a whole lot of places in Raiser’s Edge that this data can be kept. You could use some type of action but my experience has been that things tend to get lost in actions. You could use an attribute but there is not “End Date” in attributes. Also things tend to get lost in the attributes if you are reviewing a record.

I am just looking for any ideas anyone may have.

  • Is it possible to use proposals for this? Even without a literally proposal, there are some reports to tell you how long prospects have been in certain stages.

    Do you use NXT? Seems like this problem has been solved there:

     

    Prospect Status: Web or Database View?

    While you can save a constituent’s prospect status on theProspect tab of their record in the database view, we recommend you manage their moves under Prospect management on their record in the web view instead. When you do, you can:

    • Quickly see how long they've been in their current status.

    • Scroll through their moves management history.

    • View and manage a full list of their previous statuses.

    If you instead track a prospect's moves management on the Prospect tab in the database view:

    • You can manage only their current prospect status.

    • It may take at least 15 minutes for updates in the database view to appear in the web view.

    Thanks for the reply. We still use RE 7. We are still not sure if we would like to move up to this or not.


    What functionalily does NXT have that RE 7 dosen't.

    Thanks for the response.  We do use the proposal tab but just for proposals. Basically, we just want to be able to mark someone with a category (discovery or mid-range at this point)  and track starting and ending dates that they were in a category. When you assign a solicitor you are able to do this and track who was assigned to whom and for how long. You are able to see the history. I am looking for a place in Raiser's Edge (7) that we can do the same thing but with generic categories (discovery/mid-range).

    Although NXT is still very young, it looks very good and easy to use. Obviously, now it has less functionality than RE7, but it is evolving, and I do like what I see there. NXT can't yet replace desktop version, but I assume in a year or so it will become a very good alternative!

  • Thanks Lauren. We thought of the Bio 2 tab but we would have to create a "fake" person in order to use it and mark people. For our two groups "Discovery" and "Mid-range" we would have to create two fake records so that they could be put in as a relationship. We are leary about creating "fake" records in order to accomplish this task.

    Thanks for the info on NXT. I believe that Blackbaud is going in this direction and will be putting alot of resources into NXT and that in the next few years RE 7 will not be an option. Just a guess. Per my last post we are thinking about it but are not quite ready to take "the plunge".

  • Hi Brian -- again, I still think I would consider using the prospect module for this. The Proposal Pipeline Summary sounds like a report that would give you the info that you need. You could create a "proposal" type just for this purpose and use the report to show the stages.

     


    What is the Proposal Pipeline Summary report and how does it calculate totals? ... beyond solicitor names and proposal statuses, is the number of proposals for each status and each solicitor.

  • Actions really is the place to put the Moves Management. 

    Action Type would be Prospect or Prospect Annual or Prospect Event or Prospect Capital

    Aciton Date would be the date the move took place

    The Status field would be where you put the Discovery, Cultivation, Solicitation, Stewardship moves. 

    If you wanted to dial down the Mid-Range or 2nd Tier vs. 1st/High or 3rd/Low, if you have Proposal Tab it can go there under Status, if not, you can build that into the Action Attribute.


    Every time you move to a new Status, like assigned a solicitor or up the ladder of moves, then you add a new action, that way you see the date.


    And the best thing to do is build an Export to report because the canned reports for Actions are lacking details that most want on some level.
