Employee who stop giving but is not leaving organization

Our employees have a constituent code that identifies them as employees, and then an attribute for what location they work at within the organization.


The easy thing to track and code is when an employee stops donating and leave the organization at the same time.  We enter an end date for the constituent code and turn the location attribute into a former location attribute.  Those that started donating in 2015 got entered as recurring gifts, so we'd also go and terminate the recurring gift in they are set up with that.


I'll take suggestions for what I should do to record and track the employee who stops donating but is still working for my organization, and started giving before 2015.  No recurring gift to stop, and currently no system set up to find these people.


Any ideas out there?  What would you do?

  • Use a different constituent code to incidate that they are an employee
  • Not sure how many you might be talking aobut here, but I have found that sometimes it's helpful to go back to previous gifts and update them to the current process. I'm not saying go back 20 years or anything. But if you've got a dozen donors with monthly gifts that go back a couple of years, it might be worth the time to set up recurring gifts for them. Or just do it for employees who stop giving if you have way to many to do it for all.


    It could also end up helping you in other ways like identifying what payments are coming up so they are easy to pull into a batch using the "group add constituents to batch" function. YOu just have to weigh the input of time/output of value.
  • You could probably set up a query.  Something like:

    Constituency Code equals Employee (or whatever you  code is)

    and First Gift Date less than 1/1/2015

    and Last Gift less than 1/1/2016, or whatever date you want to use.
  • Maybe my brain's not fully engaged yet or has started the weekend - it is Friday after all.  But Heather what exactly are you trying to track for them? About them?

    We record same as you staff with a constituent code and an attribute with department.  I have a number of records for employees who do not have pledges/recurring gifts at this time. Have not made any changes to constit code or attribute. As past donors and as current staff they will have a record in RE for historical info and future solicitation. 

    Is there a reason you need an end date for something?  If you stop recurring gift/$0 pledge balance, I don't know what else you need.  You can always query on records with staff const code and last gift less than or gift to this annual fund $0. 

    Is there a specific report that you need to run?
  • Joann, I need to be able to know they're still an employee, but haven't left the payroll even though they've stopped donating.  Currently, most of our employees stop donating when they leave the organization, so that makes it easy - I just update the constituent code (and attribute).


    I need to be able to to both query and report on those employees who have stopped donating, but are still active employees on the payroll.


    Nicole, I like your idea, and we already have that in place for 1 year back.  Not sure we have the ability, with the staff we have, to go back any further, but I'm certainly going to think about that one.
