Processing Online Transactions in Netcommunity

We've recently launched our new site with Netcommunities and are utilizing event, donation and common forms and processing through the plug in. We've been trying to tweek our old process with this new process and were wondering if you could please share any ideas on how we can improve the following items:



Issue: Unable to receive Event & Donation Information in "Real Time".

Why: We're currently posting transactions in a batch which doe not get commited until 1-2 days so if we're trying to run event reports the information will not be in until then.



Possible Solution: Posting Transactions in to  abatch woth the actuall transaction date and enter the settlement date in the GL Post Date in the batch. However, Im not sure how this would affect Bank Rec's or any other prorotcols.



Any feedback on the above would be greatly appreciated!

  • We have similar issues due to our gateway.  We do not sue BBPM, we use CyberSource and GlobalPayments, so it takes an extra few days to process and see the actual transactions.  

    One thing to remember is that RE is not an accounting software, I know that balancing witht he bank and everything matching is a must.  We have a gift date received by department as a attribute so we know when we actually received the gift vs when it gets posted.  Then you also have the Gift Date, Transaction Date, GL Post Date and the Receipt Date

  • We set our pages to notify certain users, then they get an email for each transaction.  For donation pages it goes to our 2 primary gift processors and for events it goes to our gift processors plus everyone on the events team.  You set up each page in NetC to "notify users".  When talking real-time for events, we send out T-shirts as soon as someone registers for an event, so even though their registration and payment isn't committed immediately, the person sending T-shirts gets an email immediately.
  • The date the person goes online and registers or donates we use as the Gift Date when we bring them into a Batch.  We then use the gift date to look up the deposit date on the BBMS calendar and use the date it gets deposited into our bank as the GL Post Date.  The GL Post Date posts to Accounting which matches the deposit date for reconciling.  We also tie an Email Notificaiton for every page, (1) to notify folks and (2) to use as back-up.
