Student Class list with Parent Donations in query

I am lone user of RE (new) at a private school. We track parent donations to our AF and like to follow % of donations for each grade level. I know how to pull a report that give me parents that have donated within class without student name. I would like to see if there is a way to create a query that names parent AND child by single grade AND donation. I have used Head of Household and spouse import ID with success for my married families. My single parents show up multiple times. (spouse import ID blank and that pulls in all the children) The HH issue is clumsy when trying to find my single parents. I may be trying to do too much in my query but wondered if anyone had ideas. Looking for parent and child in specific grade and parent donation. Thanks in advance. The forum community is very helpful for me.

If you query on the gift information that you want, HC only - SC donor.... then in your output query have the Addressee-Salutation that includes Spouses and also the relationship of :Child.   When I was at a private school previously, we had the student ID's start with their graduation year, that way it was EASY to tell what their class year was.



It's beenn a while since I was at a school, but if memory serves this should work.

I work in a school and have to report or giving in each grade.  I tried a canned report that *should* work but it always was off by one or three.



Here is what I do to get the most accurate results:

Financial Reports --> Gift Detail and Summary --> make a new Report which you will be saving.

General Tab: Include All Records

Date to use: Gift Date

Date: Specific range  Start Date and End Date

Soft Credits to Donor (though if you donor advised recorded you will have to use Soft Credit recipients)

Creit Matching Gifts to: MG Company

Include: Inactive, Deceased, and No Valid

Report type doesn't matter.

Create a Constituent Output query



Filters Tab:

Constituent Code: Current Parents

Funds: whichever Funds you include for your parent giving report



Gift Types Tab:

You can do all of the ones listed below on Column 1 and then removed everything from Columns 2, 3 and 4

Column 1 should have Cash, Recurring Gift, Other, Pledge, MG Pledge, Stock/Property, Stock/Property(sold)

Uncheck the Use Gift Balance instead of gift amount



None of the other Tabs need anything.  Run Preview, which will general the Output Query.



Now go to Export:

General Tab:

Include the output query you just generated

Head of Household Processing:  Export HoH only

Include Inactive, deceased and no valid



Output Tab:

First Name

Last Name

Constituent Codes (2)

Relationships

  Individuals

    Name

    Primary Alumni Information Class of

Last Gift

  Gift Date

  Gift Type

  Gift Amount

  Fund

  Reference



Export that report and you can sort it any way you need to.  The families with multiple students, I copy their information and make multiple lines so giving info will show up in each grade when you sort by grade, since we want to count that one gift as credit for each child.  Then you can sort any other way you need for your stats.  Just remember, that if you are looking for a total given by the parents, it will be inflated if you have copied gifts into mutliple lines for multliple students enrolled.  You should just look at the Gift Detail and Summary report total to get the total dollars.
