Processing Online Gift

Options
Does anyone know how to process an online gift from the spouse of a donor already in the database and also keep all the relevant contact information (email and phone number)?  So if I have a phone number and/or email for the husband, how do I add the contact info for the wife without adding a new address record?  If a new record is created then you lose the contact info from the husband.  Please help!

Thank you,

Sharon

  • You have a couple of options here.  You can create a record for the wife, link the two, and choose a Head of Household record.  If the gift is actually from both of them (as a couple or household), then you would want to soft-credit the husband in this scenario.

If the gift is from the household, it just so happens that you have data on the husband and the wife is the one who filled out the form online, you can simply select the husband's record in OLX, don't allow OLX to overwrite any of the info already in RE (if you haven't done this before, I recommend screenshots of the record, just so if something goes wrong, you can restore it easily), and add the wife's information to the constituent record manually.

I assume, from the comment about adding an address record for a new phone number or email, that you are not Hosted, and are probably still on 7.93 or earlier.  If you have a phone type of Email2 or something like that, I would just use that here (we have Spouse's Cell as a phone type).  Once you are on 7.95 (if you're not already on 7.94, you might want to just wait for 7.95), you can have multiple phones with the same type, and phones are separated from Address records.  Although this does cause at least one glitch that I'm aware of when sending emails from OLX.
  • Thank you Jennifer!  We are using a lower version than 7.93 so for now I will change the type of phone or email so it is added rather than changing the one already in the system.  I appreciate the reply.
