Suggestions for Improving the Events Form - Removing Duplicates with Organization Registrations

Options
I had originally brought this up in the Support Chat for Online Express, but it was suggested by the support tech to post these questions here in case others are experiencing the same issues and so the developers could look into the situation.

1. When an organization registers for an event, is there any way to stop the contact person from being added into the event as a "Do Not Register" sponsor?

2. When an organization registers for an event and the Contact is also a registrant, BBOX automatically enters the person twice, one with a constituent record, one as just a participant record. Is there any way to eliminate this duplication?

3. When multiple people are registering for an event, will there ever be the capability to search RE for the individual's constituent record to link them to the event prior to BBOX just adding them into the event again? And to piggy-back off of that last question, we normally globally import invitees into an event when the invitations are sent, but with how the event form works, it is almost pointless to do so since it doesn't link to the record already added into the event.

Anyone else experiencing this? I understand Online Express is a fairly new tool.

Thanks for your help!!

  • I don't know but we are also having issues with Organizations registering... it won't allow us to capture a contatct PERSON's name... just the org name. Did you find this to be problematic?
  • We are having the same issues as Kristen listed:

"1. When an organization registers for an event, is there any way to stop the contact person from being added into the event as a "Do Not Register" sponsor? "

We also have this issue. The contact person who registered does not need to be in the event for our purposes either.

"2. When an organization registers for an event and the Contact is also a registrant, BBOX automatically enters the person twice, one with a constituent record, one as just a participant record. Is there any way to eliminate this duplication? "

Their information is being duplicated on the Org record as well -- If they are on the Org record as a relationship contact and they make a gift online through OLX, a constituent record is created in the system for that person and a duplicate relationship contact is also created. I don't know if it is possible, but we do not need a Constituent Record created for the person making the org's gift.

"3. Also, having this issue. I have to manually go back into the event after I download the gift/registration and link the guest names to constituent records. It seems there could be a more efficient way to deal with guest names.

  • We just started using Online Express and are collecting reservations for our first event. Like the two previous users, we also add all invitees as participants on the event record. Now that we have over 100 guests registered through Online Express we cannot import into Raiser's Edge until we either (1) delete participant records for the registered guests (which will be time consuming) or (2) allow multiple registraions, which is not an ideal situtation or best practice using Raisers Edge.

Highly recommend that Blackbaud update Online Express to allow online registrants to be linked to already existing participant records, in the same fashion that you can link online registrants to constituent records.
