POSITION SUMMARY:

The Database and Annual Giving Manager will report to the Chief Development Officer (CDO) and have responsibility to plan, design, develop, and launch efficient functional and business operations around systems, applications, and devices in support of PPLM's fundraising programs, and to help to design, implement, and oversee the organization's direct mail and email annual giving programs.

The Database and Annual Giving Manager will gather and analyze data in support of a variety of projects and initiatives; develop a coordinated matrix of communication, solicitation, acknowledgment, and stewardship strategies involving direct mail and email (when appropriate), to shape a sustainable tradition of annual support; design and generate regular financial and statistical reports; and develop testing methodologies, end-user training, and appropriate documentation. This individual will apply proven communication, analytical, and problem-solving skills to help build the annual giving program and maximize the benefit of IT system investments.

This position is responsible for the integrity of the Raiser's Edge database, and development reporting and data analysis. S/he works closely with development and finance staff to support their data needs, and is responsible for all coding, training, and upgrades to the system. Additionally, s/he is responsible for overseeing the gift processor who processes, records, acknowledges, and reports on the more than 10,000 donations received by PPLM annually in a timely, accurate, donor-centric manner.

The Database and Annual Giving Manager is the Raiser's Edge subject matter expert and responsible for maximizing its potential ensuring that it meets the needs of a high-performing development team. S/he will also act as liaison between Development and Information and Technology Services, coordinating projects and initiatives and translating functional requirements into technical specifications.

This position requires a detail-oriented person who is comfortable with data, capable of multi-tasking, able to set and communicate priorities and meet deadlines, committed to customer service both internally and externally, excellent at communicating with peers and superiors, and capable of applying discretion when dealing with sensitive information. Significant Raiser's Edge experience, a sophisticated understanding of its central role in a high-achieving program and a keen appreciation of the foundation of annual giving as the enabling component of successful major and gift planning programs, are essential for this position.

ESSENTIAL RESPONSIBILITIES:

Database Maintenance, Analysis, and Reporting

  • Responsible for creating and implementing an active work plan that is focused on continual improvement of the database and includes ongoing staff training.
  • Assures accuracy and integrity of database and records, including appropriate coding and fund allocation.
  • Creates and generates Raiser's Edge reports and customized Crystal Reports, including daily and weekly gift reports, income projections, event reports, and specialized campaign prospect and progress reports. Develops automated reports for other members of the team.
  • Works closely with Finance Department for monthly reconciliation, end of year closing, and during the annual audit.
  • Recommends, writes, and updates internal policy and procedural documents.
  • Manages data migration to/from database, including biannual PPFA data sharing and USPS change of address.
  • Troubleshoots Raiser's Edge issues, coordinating with IST and Blackbaud as needed.
  • Maintains security of database and sets access permissions.
  • Trains interns and staff in RE use, gift entry, and/or database policies.
  • Supports the HR staff in their use of the Volunteer module of RE.

Mailings & Direct Response

  • Works closely with the CDO to develop and implement strategies that leverage state-of-the-art direct mail, technology and social media tools to increase annual giving to PPLM.
  • Working with an outside vendor, drives the design and implementation all direct mail fundraising initiatives
  • Working with the communication department as well as PPFA identifies and leverages email and social media gift initiatives.
  • Works to identify and develop a steady stream of new prospects throughout the year as well as implements stewardship strategies for donors higher on the continuum of giving.
  • Develops new fund raising initiatives as appropriate for <$1,000 donors and prospects.
  • Provides staff support to volunteers who assist in cultivating, soliciting and stewarding annual giving prospects and donors.
  • Analyzes giving results and trends among this constituency and creates fund raising reports to document progress and activities.
  • Works with the Communications Manager to ensure consistent messaging.
  • Work collaboratively with PPFA to support joint solicitations that maximize opportunities for PPLM.
  • Develops and monitors budget for direct mail, phone-mail and email programs including expenses and contributed income for this constituency.
  • Builds Raiser's Edge queries and exports to prepare mailing lists for direct mail, events, publications, planned giving, and other department projects.
  • Imports mailing lists into Raiser's Edge database.
  • Provides direct mail vendor with mailing response information.
