Volunteer hours merge field?

Options

Hello,

I have been trying to find a way to do a mail merge for volunteers that includes their time sheet hours but have been unable to find it anywhere on Raiser's Edge.  Does anyone have any sort of insight into this?

Thanks!

Chris

I have to use a crystal report to get the total volunteer hours & then append it to the mailing file. It's a HUGE pain in the butt & I've been complaining to BB about it for years. It's on the idea bank too.

    Hi Chris,

You can include the time sheet hours per a specific time sheet by creating a mail merge through the Export Module in the Raiser's Edge. When you set the Export Format as either a Blackbaud Simple Word Merge or a Blackbaud Conditional Word Merge all of the fields listed on the Output Tab can be used as merge fields in your letter.

    1.  In the Export Module of the Raiser's Edge, select New Export > Type: Constituent/Export Format: Blackbaud Simple Mail Merge or Blackbaud Conditional Mail Merge > Create Now.
    2. On the General Tab, select your query of constituents that you wish to create letters for.
    3. On the Output Tab, select Volunteer > Time Sheets > Hours > enter how many timesheets you wish to export per volunteer and then select your timesheet types and enter your date range.
    4. Also on the Output Tab, you can select your other desired fields, such as Addressee, Address, etc.
    5. To create your letter, select Edit Merge Document located on the toolbar.
    6. Within the Word Document, select Add-Ins on the toolbar and then Insert Raiser's Edge field to insert in your merge fields.
    7. Once you have finished writing your letter, select Add-Ins > Save and return to RE7 to Merge.<?xml:namespace prefix = o ns = "urn:schemas-microsoft-com:office:office" />
    8. To merge your letters, select Merge Now located in the lower right-hand corner.

Here is also a link to a knowledgebase solution that walks you through the steps of creating letters in Export in further detail.
